Connecting your CRM to Almanac

No API, no integration, no developer. Your CRM emails one report to Almanac on a schedule, and that is the whole connection.
The idea in one line: you build the right report once, we point it at an inbox, and it runs. Almanac reads the file automatically every time it lands, so your numbers stay current with zero ongoing work from you. This works the same way whether you run PestPac, FieldRoutes, Clypboard, GorillaDesk, Jobber, or anything else that can email a report.

Step 1 · The one-time history (this is what gets you real numbers)

Do this first

Send your sales history, going back 24 to 36 months

Pull the last two to three years of sales out of your CRM, one row per paying service line, with customer, service, date, amount, and ZIP. If you are not sure how to pull it, the export guide has the exact click path for your system. Email that file to [email protected] to start. That single file is what turns the early reads in your readout into real lifetime value by service, retention, and the weekly ad number.

Plus one small thing: a one-time lookup of your location or account codes to city and ZIP. It does not need to be in the report itself, a separate quick export is fine. That is what unlocks value by area.

Step 2 · The ongoing feed (set once, runs forever)

Once you are up and running

Schedule the report to email itself to Almanac

In your CRM's report tool, take that same report and set it to email on a schedule, weekly or monthly, whatever you prefer. We will give you a dedicated Almanac inbox address to send it to once your account is set up. Point the scheduled report at that address, set it once, and you are done. Every time it lands, Almanac ingests it and refreshes your numbers. Nobody has to remember to send anything.

The report itself (what each row should carry)

One row per paying service line. The columns:

Two quick things when you pull the history: if credits or refunds happen, let them show up as negative rows so the totals reconcile, and make sure the export breaks out to the service line rather than one combined total per statement. That grain is what lets us tell a recurring plan apart from a one-time job.

While we get your scheduled feed set up

No problem if the scheduled email takes a minute to configure, or if your account address is not live yet. Until then, you just email the report to [email protected] whenever, and it flows in the same way. The automation is a convenience, not a requirement.

Your data is stored encrypted, used only to compute your numbers, never shared with anyone, and deleted whenever you ask.
